What records do you need from a healthcare practice?

Business-operations records only: scheduling and capacity patterns, revenue-cycle workflow, denial and appeal procedures, staffing records, policies, SOPs and vendor records. Anything containing patient information is excluded. You don't need all of them. One well-documented system can qualify. The usual bar is 30+ employees, 3+ years of records and a US base.

Do we give up ownership of our data?

No. You license a copy. Your original records stay in your systems, untouched, and you keep ownership. You approve the exact systems and date ranges in writing before anything is exported, and you can leave out any inbox, folder, tool or period. Nothing leaves until you sign.

How are patient and staff details handled?

Patient information is excluded outright. Protected health information is not part of what we refer. For the business records in scope, every person, company name, address and account number in the agreed copy is replaced with a placeholder or removed. Payment details and Social Security numbers are removed entirely.

How much work is this for our team?

Usually a few hours from whoever administers your shared drives, email and reporting. There's no cost to you, and you're never invoiced. The buyer pays Renaissance Data Lab a finder's fee when a deal closes. It doesn't come out of your offer and is disclosed in writing before you sign. Typically, it takes about 60 to 90 days from first call to payment.

How do HIPAA and our payer contracts affect what goes in?

That depends on your contracts and professional obligations, and we don't give legal advice. Check with your own counsel. The buyer's legal team reviews scope with you before any export. HIPAA applies to your practice, and patient data is excluded outright. The scope is business-operations records only.

Does the eligibility check commit us to anything?

No. The check is free, takes about a minute and creates no obligation. If you qualify, the final offer comes in writing after a review of your actual systems and data volume. Nothing leaves your systems until you sign.
