What records do you need from a law firm?

The focus is internal know-how and process: templates, precedent banks, checklists, research and know-how memos, training material, workflow records and de-identified billing narratives. You don't need all of them. One well-documented system can qualify. The usual bar is 30+ employees, 3+ years of records and a US base, with records kept in real business systems.

Do we give up ownership of our data?

No. You license a copy. Your original records stay in your systems, untouched, and you keep ownership. You approve the exact systems and date ranges in writing before anything is exported, and you can leave out any inbox, folder, tool or period. Nothing leaves until you sign.

How are client, opposing party and staff details handled?

Records are de-identified before delivery. Every person, client, company name, address and account number in the agreed copy is replaced with a placeholder or removed. That includes your own lawyers and staff. Social Security numbers and payment details are removed entirely. Whether any client material belongs in scope at all is for your firm and its counsel to decide.

How much work is this for our team?

Usually a few hours from whoever administers your document management, practice management and email. There's no cost to you, and you're never invoiced. The buyer pays Renaissance Data Lab a finder's fee when a deal closes. It doesn't come out of your offer and is disclosed in writing before you sign. Typically, it takes about 60 to 90 days from first call to payment.

How do Rule 1.6 and our engagement terms affect what goes in?

That depends on your contracts and professional obligations, and we don't give legal advice. Check with your own counsel. The buyer's legal team reviews scope with you before any export. Anything privileged or confidential is for your firm and its counsel to decide, and you can leave out any matter, folder, system or period.

Does the eligibility check commit us to anything?

No. The check is free, takes about a minute and creates no obligation. If you qualify, the final offer comes in writing after a review of your actual systems and data volume. Nothing leaves your systems until you sign.
